Transaction Coordinator

The fundamental role of the Transaction Coordinator at The Coley Group is to be a key “Reputation Builder & Protector.” We look to this team member to take extraordinary ownership for managing our listings and helping to develop our marketing content. S/he will be the main point of contact for seller/client inquiries and activities. This person relishes the opportunity to build relationships, manage proven processes, and provide “five-star” client experience. The Transaction Coordinator is deeply committed to supporting the growth of The Coley Group to achieve greater levels of success– to grow her/his skills and to take leadership in their role within the organization.

Salary: $35,000 - $45,000 /year

Job Type: Full-time


North Carolina Real Estate License (Required)

Real Estate Operations: 2 years+ preferred

What will you do? You will be...

  • The main point of contact handling seller inquiries and calls
  • Respond to all incoming client communications same day within normal business hours
  • Audit all listing files with 95% touches up-to-date, and update our CRM accordingly
  • Foster customer loyalty/referrals through high-quality interaction at each step. Client care and coordination.
  • Keep the lead agent informed regarding problems or issues that have been handled or need support.
  • Manage, initiate, and own the efficiency of systems and task completion
  • Developing and executing event plans along with the Operations Manager

Essential duties and responsibilities

  • Execute and improve upon proven listing process at a high-level
  • Prepare listing presentations, confirm appointments & prepare listing documents
  • Create market analysis for review by lead agent
  • Coordinate Open Houses
  • Provide Five-star client care/relationship management
  • Coordinate preferred vendor/client coordination as applicable
  • Weekly accountability for meeting commitments and goal-setting


  • Director of Operations – daily
  • Lead Agent – daily
  • Administrative Team – daily
  • Sellers/Vendors – as necessary


  • Client care experience required
  • Able to set priorities, plan and organize tasks
  • Strong organizational and follow-through, ownership, and accountability
  • Easily take initiative without direction to do what needs to get done
  • Exceptional attention to detail and accuracy
  • Demonstrate initiative, reliability, and teamwork skills
